What makes a good business greeting

Keep it short. Callers decide in the first few seconds whether they reached the right place, so say your business name first and get to the options quickly. Keep the phone menu to five options or fewer, put the option people ask for most on key 1, and always give callers a way to reach a person, usually by pressing 0 or staying on the line.

Save the details for the right greeting. Your after-hours and voicemail greetings are the place for business hours, your website and an urgent-matters number. If you record calls, say so at the start: Florida requires the consent of everyone on a recorded call, so a one-line notice is a smart habit. Medical and dental offices should always tell callers to hang up and dial 911 in an emergency.

Business greeting examples by industry

General office: “Thank you for calling [Business Name]. For sales, press 1. For customer service, press 2. For billing, press 3. If you know your party’s extension, you may dial it at any time. Or stay on the line, and the next available team member will assist you.”

Medical or dental office: “Thank you for calling [Practice Name]. If this is a medical emergency, please hang up and dial 911. To schedule or change an appointment, press 1. For billing and insurance questions, press 2. For prescription refills, press 3. To speak with our front desk, press 0.”

Law firm: “Thank you for calling [Firm Name]. If you are a new client, press 1. If you are a current client, press 2. For billing, press 3. To speak with our receptionist, press 0.”

Restaurant: “Thanks for calling [Restaurant Name]! For reservations, press 1. To place a takeout order, press 2. To hear our hours and directions, press 3. For catering and private events, press 4.”

Home services, after hours: “Thanks for calling [Company Name]. We’re closed right now. For emergency service, please call [on-call number]. Leave your name, number and a quick message after the tone, and we’ll call you back on the next business day.”

Real estate voicemail: “Hi, you’ve reached [Brokerage Name]. Sorry we missed your call! Please leave your name, number and the property you’re calling about, and we’ll call you back as soon as we can.”

Salon or spa holiday greeting: “Thanks for calling [Salon Name]! We’re closed today for the holiday. We’ll be back on our next business day at 9 a.m. From all of us, enjoy the holiday!”

Bilingual main greeting: “Thank you for calling [Business Name]. Para español, oprima 9. For sales, press 1. For service, press 2. Or stay on the line, and we’ll be right with you.”

Auto attendant vs. voicemail greeting

An auto attendant greeting answers the call and routes it: callers press a key to reach a department, a person or a recorded message. A voicemail greeting plays when nobody can pick up and asks the caller to leave a message. Most businesses need both, plus an after-hours version of the attendant greeting and a holiday greeting you can switch on when the office is closed.

Bilingual greetings for Florida businesses

In Naples, Fort Myers and Miami, many callers are more comfortable in Spanish. A bilingual greeting puts the Spanish prompt near the start, like “Para español, oprima 9,” so Spanish speakers do not have to sit through the English menu. Pressing 9 then plays the same menu in Spanish.

Keep both versions matched: same options, same keys, same hours. If 9 is already used in your menu, pick another key, and have a fluent speaker record the Spanish side. The generator handles the key conflict for you and writes natural Latin American Spanish, not a word-for-word translation.

How long should a business voicemail greeting be?

Aim for about 15 to 30 seconds for a voicemail greeting and under 45 seconds for a main auto attendant greeting. At a natural pace people read roughly 150 words a minute, so that is about 40 to 75 words for a voicemail and around 110 for the main menu. The generator shows the word count and read time for every script.

Should I record the greetings myself?

You can. Record in a quiet room, read a little slower than feels natural and pause briefly between menu options. A professional voice, or at least the same voice across every greeting, sounds more polished, especially on a bilingual menu.

Can greetings switch automatically after hours and on holidays?
